Resource Sheet

Resource Sheet is a feature in Microsoft Project that serves to determine the resources we have when working on a project. This feature can be used to manage the resources we have in completing a project. The Resource Sheet has columns containing information about the identity and size of resources, including the indicator column, resource name, type, material label, initial, group, max unit, and code. Here is an explanation of the columns and their use in each project operation:

Resource Name

Resource Name is the name of the resource used in the project to complete tasks. Type your resource name in this column. Next to the name, the profession or function of the resource in the project can be specified.

Type

Type is the category of the resource. Resources can be categorized into three types: Work, Material, and Cost. Work resources complete tasks based on time. This can be people or equipment working based on time. Material resources are auxiliary materials and materials needed in tasks, stated in quantities. Cost resources are typically fixed costs, which are resources not influenced by the project’s timeline. Choose the resource category by pressing the dropdown button located in the cell to the right on the Resource Sheet, as shown in the image below:

Material

Material label is the label for material resource categories. The label represents the unit of the resource required in the task. Units for items like computers and cabling, for example, can be expressed in sets.

Initial

Initial is an abbreviation of the resource’s name. For example, Head - H, Programmer - P, Networker - N, Computer and Cabling - Kp, and Office Equipment - Pk.

Group

Group is the name of the resource group. Grouping resources is useful when the project is large and involves various types of resources.

Max. Units

Max. Units represent the maximum number of resources available for the project. The available human resources for the information system development project consist of one Head (100%), four Programmers (400%), and two Networkers (200%).

Code

Code is used for coding each resource according to the project’s needs.

Std. rate

Std. Rate is the standard cost of using a resource, whether it is a work or material category. The default value for work is $ per hour, while for the material category, it is $ for each value given in the column. If you want to change the currency, you can do so in the Options menu and select Rp, as shown in the image below:

Ovt. rate

Ovt. Rate is the overtime cost for using a resource during the project.

Cost/use

Cost/use is the cost per use of a resource. For work category resources, the cost appears each time the resource is used. For material category resources, the cost appears only once.

Accure at

Accure at is the determination of the type of payment for the resource. There are three types of payment methods in this column:

  • Start: Payment to the resource at the beginning, before the resource is used.
  • Finish: Payment to the resource at the end after the resource completes its task.
  • Prorate: Payment to the resource based on the percentage of work completed.

Base

Base is a column to enter the working time used or the work shift, with three options: Standard (Standard Working Hours), 24 Hours (24 Hours) or Daily, and Night Shift or Night Working Hours.
